Job Purpose

 

As an Operations Assistant, you will play a crucial role in facilitating the smooth daily operations of Foregenix’s Operations Department. Your primary focus will be on optimising communication channels across the organisation, with special emphasis on supporting CRS Consultants, the Foregenix Exec Team, and the Operations Department.

Additionally, you will contribute to the success of the company's business development initiatives and manage a diverse portfolio of programs and consultants' certification requirements.

Effective communication will be key in this role, as you will interact with individuals from various countries through email, phone, and occasional face-to-face meetings. Given the global nature of our operations, flexibility with out-of-hours work may be necessary to accommodate different time zones. Your responsibilities will encompass a range of tasks beyond communication, including but not limited to the following key duties.

Key Responsibilities

  • Build and maintain good working and collaborative relationships with all internal and external stakeholders
  • Effective crisis management and problem resolution, marshalling comms between stakeholders
  • Represent the CRS department with a consistently positive and proactive demeanour
  • Plan and schedule all client engagements
  • Ensure management data on in-house systems is updated in real time and 100% accurate
  • Plan and book company logistics and travel
  • Escalate all appropriate items to the Global Delivery Manager and VP of Global Operations
  • Assist with administrative tasks from Operations and the Exec Team
  • Support the Managing Principal during the business development process
  • Assist with preparing for Operational Meetings and taking minutes
  • Track all client deliverables
  • Other tasks related to the success of the Operations Team as required by line managers.

 

Expectations of Role

  • This role will cover all time zones, expect to have occasional meetings/conference calls out of SA business hours
  • This role will require flexibility and to take on any other tasks as requested by the Global Delivery Manager
  • This role will require a positive and diplomatic approach at all times, as you will be in contact with highly engaged and diverse internal and external stakeholders, each with unique needs and perspectives
  • This role will require strong communication skills
  • This role will require exceptional organisational and time keeping discipline
  • This role has access to highly confidential information therefore all items are to be kept discreet

 

Critical Competencies

  • At least 2 years experience in an office environment (customer service or administrative)
  • Have the ability to plan and organise activities to achieve results
  • Be able to form effective working relationships and be able to work collaboratively with others to achieve shared goals
  • Impeccable communication skills, both verbal and written with the ability to engage at all levels both internally and externally
  • Be willing and able to respond to change positively, embracing new policies and procedures
  • Ability to use your own initiative
  • Good time management, organisational and planning skills
  • Strong team player
  • Patient, tactful, diplomatic and approachable
  • Computer literate, good understanding of Google products
  • Fluent English written and spoken.
